Organizing Assets

As your content library grows, keeping it organized becomes essential. GoVista provides folders, tags, search, and bulk operations to help you find what you need quickly.

Folders

Create a folder structure that mirrors your organization:

1. Go to Content > Media Library 2. Click New Folder 3. Name the folder (e.g., "Summer Promotions", "Menu Boards", "Brand Assets") 4. Drag and drop content into folders, or use the move action

Folders can be nested to create hierarchies like:

  • Brand Assets
  • Logos
  • Backgrounds
  • Promotions
  • Summer 2024
  • Winter 2024

Tags

Tags provide flexible, cross-cutting organization:

1. Select one or more content items 2. Click Tag and enter tag names 3. Use tags like "seasonal", "menu", "promo", "corporate" for easy filtering

You can filter the media library by tag using the tag dropdown.

Search

Use the search bar to find content by:

  • Name — File name or display name
  • Tag — Tagged keywords
  • Type — Filter by image or video
  • Date — Sort by upload date

Bulk Operations

Select multiple items to perform bulk actions:

  • Move — Move to a different folder
  • Tag — Apply tags to multiple items at once
  • Delete — Remove multiple items
  • Download — Download selected items

Establish a naming convention for your team. For example: [Store]-[Category]-[Date] like NYC-Menu-2024Q3.jpg. This makes searching much faster.

Storage Management

Monitor your storage usage from Settings > Billing. To free up space:

  • Delete unused or outdated content
  • Replace large BMPs with compressed JPEGs or WebPs
  • Remove duplicate uploads

Deleting a content item that is currently used in an active playlist will show a warning. Remove it from all playlists before deleting to avoid playback gaps.
