Approval Workflow

The approval workflow ensures content is reviewed and approved before being published to screens. This is essential for organizations with brand guidelines, compliance requirements, or multi-team operations.

How It Works

1. Editor creates content — Users with the Editor role upload or create content 2. Editor submits for approval — Content is sent to the approval queue 3. Admin reviews — Users with Admin or Manager roles review pending content 4. Approve or Reject — The reviewer approves the content for publishing or rejects it with feedback 5. Publish — Approved content can now be added to playlists and published

Submitting Content

As an Editor:

1. Upload or create your content 2. Click Submit for Approval 3. Add an optional note explaining the content 4. The content status changes to Pending

Reviewing Content

As an Admin or Manager:

1. Go to Content > Approvals to see pending items 2. Preview the content in full resolution 3. Click Approve to make it available for publishing 4. Click Reject and provide feedback for the editor to revise

Content Statuses

  • Draft — Content has been uploaded but not submitted
  • Pending — Submitted and waiting for review
  • Approved — Reviewed and ready for publishing
  • Rejected — Reviewed and sent back for revisions

Enable email notifications for the approval workflow so reviewers are notified immediately when new content is submitted. This prevents delays in getting content to screens.

Role Requirements

  • BRAND_EDITOR — Can create and submit content
  • STORE_MANAGER — Can approve for their store
  • REGIONAL_MANAGER — Can approve for their region
  • BRAND_ADMIN — Can approve any content

Rejected content cannot be published until it is revised and re-submitted. Make sure to provide clear feedback when rejecting so the editor knows what to fix.
